Certification Tracking Software for Manufacturing

Certification expiry tracking keeps renewal dates visible alongside the evidence behind each certificate. For a manufacturing workforce, separate certificate validity, recurring training due dates and practical reassessment dates. Assign responsibility for reviewing what is due, verify the original evidence and test how reminders and completed renewals are recorded.

Evaluate renewal tracking by following the evidence and the dates together. Start with the meaning of each date, then test the event that creates the next one. A useful buying checklist should make an unexplained date easier to question, not treat every date as the same kind of expiry.

Key takeaways
  • Separate validity, training due dates and reassessment dates.
  • Inspect the evidence and the rule behind each date.
  • Test how a completed renewal affects the next assignment.

Separate three kinds of date

Use the applicable rule or employer program to determine the dates. Software does not supply their legal basis. Document the meaning of each date before deciding which reminders or reports you need.

DateBuyer check
Certificate validityIdentify the certificate, its issuing event and the basis for its validity period.
Next training due dateCheck the program's repeat requirement and the event used to calculate the next assignment.
Practical reassessment dateRecord when ability must be checked again and who is responsible for reviewing that requirement.

Inspect the evidence behind an expiry date

Ask to retrieve the certificate or other original evidence. Check its source, the identity or record reference, the issuing event and where the date came from. Identify who will review a mismatch and where the supporting evidence will be kept. This is an evaluation checklist, not a legally sufficient form.

Keep the source of the date in your review notes. If the original evidence is missing or unclear, record that gap before accepting a calculated status. Do not substitute the date you entered the record for the date of the event it describes.

Test reminders and completed renewals

  • Which event creates the next due date, and can you explain the calculation?
  • What happens to existing records when a course setting changes?
  • How does the product handle a missing date or incomplete evidence?
  • Who may record a renewal, review it or change the underlying settings?
  • Can you follow the completed renewal back to its evidence?

Use the same questions in every shortlisted product. These are acceptance questions to test, not a claim that all systems handle each case in the same way. Keep evidence of the result alongside the question so the purchasing decision can be reviewed.

Do not turn an evaluation interval into certificate expiry

The cited US rule requires an operator performance evaluation at least every three years and identifies events that trigger refresher training. Keep those duties separate from an assumed universal certificate expiry. 29 CFR 1910.178(l)(4). The forklift training records guide covers the rule's fields and distinctions.

How TrainGrid handles the dates

TrainGrid courses have Repeat every (days) and Valid for (days) settings for recurring assignments and certificate validity.

When a repeating course issues a certificate, TrainGrid schedules the next assignment for completion plus certificate validity, rather than completion plus the repeat interval.

Changing certificate validity in TrainGrid applies to certificates issued from then on; already-issued certificates retain their issued validity.

TrainGrid includes reminders for due, overdue and expiring training records.

TrainGrid displays the assessor, assessment date and an optional reassessment due date with the assessment.

Employees and courses import by CSV; training history not imported. Set Repeat every (days) and Valid for (days) on the course before recording past training with its original completion date, or keep the old register as the historical record.

Multiple locations are available on TrainGrid Enterprise; Starter and Professional each cover one location.

Compare the same renewal workflow

AG5 publishes certificate validity and renewal capabilities alongside training-history material covering completed, ongoing and expired training. AG5's published platform material and training history. Include that approach in an evaluation when it fits your requirements; renewal tracking is not unique to TrainGrid.

Compare the same issuing event, settings change and completed renewal in each shortlisted tool. Keep expiry separate from the decision about how long to retain the evidence. The recurring training guide covers setup, while training records retention addresses the separate retention question.

Use the product guide and published plans when checking the documented workflow and scope.

Informational only; not audit or legal advice. Verify current requirements against the published standard or regulation that applies to your workplace.

Frequently asked questions

Is an expiry date a retention deadline?

No. Review how long the underlying evidence must be kept separately from the date a certificate or qualification needs renewal.

Does forklift training always expire after three years?

The cited US rule requires an operator performance evaluation at least every three years and identifies events that trigger refresher training. Keep those duties separate from an assumed universal certificate expiry.

How does TrainGrid schedule a repeating certificate course?

When a repeating course issues a certificate, TrainGrid schedules the next assignment for completion plus certificate validity, rather than completion plus the repeat interval. Changing certificate validity in TrainGrid applies to certificates issued from then on; already-issued certificates retain their issued validity.
